Reporting directly to the Chief Information Officer, the Executive Assistant provides comprehensive executive support and serves as the point of contact for internal and external stakeholders on all matters pertaining to the CIO’s organization. Acting on own initiative, performs advanced administrative support for executive level managers. Utilizes a thorough knowledge of the business and/or organization. Assignments generally involve work of a confidential nature and require extensive knowledge of department, business unit and company practices, policies, programs and product lines.
Performs professional administrative support directly for the CIO of a multi-billion dollar organization, in a fast-paced, demanding environment
Schedules, guides and manages the key engagements of the CIO
Handles highly confidential details for sensitive and critical matters including but not limited to email management, performance data, contracts, etc.
Drafts, proofs, and prepares correspondence on behalf of executive
Arranges internal and external meetings to include all meeting preparations, such as tracking responses to meeting requests, preparing and distributing meeting materials, arranging all technology including web and video conferencing, liaison with outside parties to manage appointments and meetings outside the office
Assists in the preparation of agendas, presentations, and correspondence for leadership meetings, employee meetings, and other activities as needed
Provides friendly and professional office atmosphere, handling in-person, telephone and written communications, and resolves routine and non-routine inquiries
Responsible for complex and detailed travel arrangements for executive and other team members including on-site and off-site meeting venues, and any other travel needs
Professional daily contact with C-suite executives and their administrative staff
Accurately and efficiently conducts normal administrative tasks such as maintaining CIO’s calendar, processing expense reports, invoice processing, supply orders, meal arrangements, office files, etc. and uses general office equipment
Bachelors degree or equivalent is preferred but not required.
2-4 years’ experience working with or supporting a senior executive, or equivalent experience
Proven ability to succeed in a demanding, fast-paced, high-volume environment, maintaining a strong sense of urgency
Effective organizational skills with focus on confidentiality, accuracy and attention to detail
Excellent verbal and written communication skills
Ability to anticipate and proactively resolve potential issues
Demonstrates a positive attitude, resourcefulness and maintains composure in high pressure situations
Proficient in Microsoft Office products – Outlook, Word, Excel, PowerPoint, etc.
Experience with other electronic and web-based systems (such as SAP and Concur) to process invoices, travel arrangements, etc.
Schedule flexibility to work outside of routine hours
Able to travel 25% and on occasion up to 50% per month
