Job Summary

This position will assist the Real Estate Transactions and Analysis Department with the management, documentation, organization of projects, and tracking of real estate transactions to improve the efficiency of the regional transaction managers for the department. The Analyst will be part of a team that oversees the management of approximately 600 real estate transactions each year for a portfolio of over 50 million square feet of owned and leased real estate.

Job Description

  • Research/Data Collecting/Project Tracking

  • Provide requested site information and documents from various real estate sources.

  • Abstract certain lease information and input into proprietary database systems.

  • Provides requested reports from database information pertaining to lease information.

  • Assists with reports for the time sensitive lease provisions and the status of projects.

  • Attends status calls/meetings to report on progress of projects.

  • Input status updates in proprietary database systems.

  • Review incoming calls, mailings or other inquiries and direct to appropriate departments.

  • Consult with peers, department members, and field personnel to acquire transaction updates.

  • Work on special projects as requested.

  • Documentation Creation and Modification

  • Complete “form” real estate documents with information provided by transaction managers.

  • Draft lease renewal letters or other forms of formal notices as directed.

  • Draft summaries of proposed transactions required for signing documents.

  • Assemble documents for signature by appropriate signatories.

  • Send documents for signature to external parties and retrieve executed documents.

  • File, copy, and package documents to be sent to appropriate departments for permanent storage.

Qualifications

Basic Qualifications, Skills and Education

  • Two or more years of experience demonstrating strong organizational skills.

  • Proficient knowledge of MS Excel and use of database systems.

  • Ability to multi-task, set priorities, maintain a high level of attention to data/result integrity,

  • Detail oriented and ability to meet deadlines.

  • Ability to work independently, as well as part of a team.

  • Proficient with MS Outlook, Word, and PowerPoint.

  • Strong oral and written communication skills.

Preferred Qualifications, Skills and Education

  • Bachelor’s degree in business, finance, or other business field is preferred.

  • Minimum of 2 years related experience, preferably in real estate, title insurance, paralegal work, project management.

  • A current Notary Public commission is desired.

  • Strong organizational, writing, and analytical skills.
